Please read the following information carefully to ensure your swimmers and divers are properly entered for the regional diving and swim meets November 5 and November 7.

Step-by-Step Instructions

All regional entries must be submitted online. All seven regional sites have a specific web page. You should have received your username and password on Monday, October 26.  If you need help with your username, please contact Jason Eslinger as soon as possible.

After you are logged in, you will be required to put coach information. You will not be able to advance to the next screen until you put in the head coach’s name, email address, and phone. It is not required to add assistant coaches’ names.

When you are logged in, click on the link that says Import Roster From QuikStats.  Once you do that, click on “Import from QuikStats”. Your swim roster in QuikStats/Varsity Bound will load onto your entry page. Be patient in waiting for your roster to load. This may take up to a few minutes to load. If you have an athlete that is competing but is not listed on your roster, click on “individual entry” at the top of the page to add.

Once your roster shows up, you can begin entering your athletes in events. Find the athlete, click on “Edit/Enter Marks” link. Your athlete’s best time in each event they have competed in during the regular season will show up in red. To enter that time, simply click on it and the time will drop into the entry mark list. If the athlete has no mark in the event you are entering them in, you will need to manually type in the entry. When you are finished with an athlete, hit save at the bottom of the page. You will be taken back to the entry list and your athlete’s entry time and event will be displayed under their name.

Your relays are listed at the bottom of your roster. Click on the “edit relays” link to enter your relay times and relay participants. Again, be sure to hit save when your relay entries are completed. Be sure you have swimmers and alternates listed in your relays.

Times must be in the QuikStats database for verification.

When you are finished with your entries, double-check and hit declare. There is a box at the bottom of the entry list that will display the events you have no athletes entered in. You will have to click on the box confirming that you intend to have no entries in the events listed below. You will not be able to declare entries unless this box is checked.

Once you have declared – it is imperative that you PRINT OUT YOUR DECLARATION PAGE.  Think of this as your entry receipt. Bring it with you to Saturday’s meet. I will also print out everyone's entry list from the Hy-Tek entry sheet and email it to you Wednesday night. You will be asked to send me an e-mail confirmation that you have received this document.

The deadline for entries is WEDNESDAY, NOVEMBER 4 at 4:00 p.m. DO NOT MISS THIS DEADLINE. There will be NO extensions to this deadline.

A reminder: each school may enter three (3) participants for individual events and one (1) relay team for each relay event. Each individual swimmer may enter a maximum of four events, no more than two of which may be individual events.

State Qualifying Standards: Reminder, if you have a swimmer that has met the qualifying standard for the state meet, the swimmers are only eligible to swim at state in the events they were entered in at the regional meet. Swimmers that met the qualifying standard in the regular season are required to start and successfully finish their regional race in order to participate in the state meet.

Diving Entries: In order to develop a warm-up schedule, I am asking each coach to e-mail their diving entries to me by 4:00 p.m. Monday, November 2nd  at  [email protected]. I will post a warm-up schedule for all three sites on Tuesday (November 3) afternoon on the IGHSAU website. In addition to e-mailing the diving entries, please be sure the divers are also entered in the online entries.

Regional Diving: Coaches still need to email completed diving sheets to your regional meet manager by 4:00 p.m. Wednesday, November 4 (while a sheet is expected to be emailed, diving sheets may be changed one hour prior to the start of competition on Thursday). The emails for the diving regional can be found at the bottom of this page. Diving coaches MUST use the Excel electronic diving sheet. This form is found in the Coaches & Administrators/  of the IGHSAU  website (click on Swimming & Diving and scroll down) website or you may click on the  Dive Verification Form to download it.

State Qualifiers: The IGHSAU will release state qualifiers Saturday evening. These are tentative time and qualifiers until verified

Individual Events: The field of 32 state qualifiers consists of all swimmers that have met qualifying standards and competes in that event at the regional meet. The rest of the qualifying field will be filled from the next fastest regional times from swimmers that did not meet the State time standard during the regular season. Regional champions (7 total) from each event are auto qualifiers for the State Meet regardless of time.

Relays:  There are no qualifying standards in the relay events. Regional champions, plus the next fastest 25 times, will qualify for the State Meet. Relays will be a four-heat, timed final on the Saturday evening session of the State Meet.
